Volunteer Sign-up Form

SET-UP/MOVE-IN

  • Assist Melissa and Jackie with moving materials into the Presidents Room, Gorecki.
  • Set up Student Fair Registration area and Gorecki EXPO signage.
  • Check and set-up Seminar rooms (120 A & B, 204 A & C); move padfolios & other materials.
  • Constantly check with Melissa, Jackie M., John, Mary, Heidi, Erica, Jackie E.; if you’re not on the move, you’re not doing the job.
  • Begin with the task listed and then help others where needed. 

GREETER

Three stations that must be covered:

1)  Base of the stairs to the 2nd floor
2)  In the lobby/120 area
3)  At the top of the stairs 

  • Greet and Direct Alums, Students, Employers, Faculty/Staff.
  • Answer questions which means you need to know what’s going on, where things are located, etc.
  • CAs working Lobby/120 area:  Students are not allowed in the Fair Registration area prior to 1:30 p.m. Ensure students are not stopped in this area for name tags or materials BEFORE 1:30 p.m.
  • Students DO NOT need name tags to attend Seminars; the name tags are ONLY required for the Fair. 

Runner – Constantly check with Heidi, Mary, Melissa, Jackie, and John; fill in as dictated by the traffic flow. If a Greeter is unavailable (e.g., due to illness) you’ll also help cover that responsibility

SPEED NETWORKING COORDINATOR  

SOCIAL MEDIA

  • Check ipad out from/back to Jackie and Melissa (2nd floor – President’s Room).
  • Take photos/videos of students, alums, employers, and faculty.
  • Ensure strong visuals (e.g., a Seminar picture without lots of students isn’t that useful). Post to Twitter, Facebook, Instagram, and Snapchat.

SEMINAR COORDINATOR

  • Ensure the room is ready (name placards on the table, student materials laid out, chairs set, chairs added as attendance dictates, etc …).
  • Review the materials in the Seminar envelope.
  • Greet alums and panel moderators (faculty/staff member). Alums and moderator need a name tag; send alums to the Alum Check-in (2nd floor) unless the Seminar is starting (then a CA needs to talk to Jackie/Melissa ASAP). Moderator name tags are in the Seminar envelope.
  • Scan IDs/student sign-in (scan/sign-in EVERY student even those who come late) and distribute student materials (pens, padfolios, …). Conduct a head-count of students, faculty/staff, alums (non-panelists) AFTER the Seminar begins and record on form on the envelope.
  • Ensure the room is conducive to the Seminar:  close the door(s) to the space as needed; quiet noisy traffic in the hallway; ….
  • Ask questions during the Q & A.
  • Thank the alums and moderator.
  • Direct alum-student conversations to the hall or lobby as the room must be transitioned quickly to the next Seminar.
  • Place materials in the envelope and run to Jackie/Melissa (2nd floor – President’s Room).
  • Ensure room is ready for the next Seminar.

SEMINAR GREETER 

  • Greet Seminar alums and moderator
  • Ensure the moderator knows their role
  • Assist with the Seminar as necessary
  • Coordinate check-in process/control line into the room.

FAIR ALUM/EMPLOYER REGISTRATION 

  • Assist Melissa and Jackie with Fair name tags, registration tasks, serve as a Runner, etc. 
  • Report to the President’s Room (2nd level).

FAIR SET-UP

  • Assist with Fair set-up; John and Melissa will direct you, but look around to see what needs to be done and make it happen.
  • Greet alums and help them move in; carry their materials to their tables.
  • Answer questions and, if you can’t answer, check with John.
  • Troubleshoot as needed.
  • At base of stairs. Greet employers, ask them their organization, figure out if the organization is in the Lobby or in 204. Take their materials and carry to their booth (know if they are in the Lobby or in 204 so you’re not carrying stuff up and down the stairs). Also, send the employers directly to the Presidents’ Room (2nd floor) to check in; you take their materials and move them.  We do not want lots of materials clogging the staircase.

ALUM/EMPLOYER FAIR REGISTRATION DESK

  • Assist Melissa and Jackie with Fair name tags, registration tasks, serve as a Runner, etc.  Report to the President’s Room (2nd level)

FAIR STUDENT REGISTRATION 

  • Scan IDs/sign-in EVERY student (NO EXCEPTIONS), give name tags. Direct students to the high top tables to complete name tags. DO NOT allow students to “clog” this area. DO NOT scan any IDs before 1:45 p.m. DO NOT let those students out of the Registration area until 2:00 p.m.

FAIR TRAFFIC COORDINATOR

  • NO ONE (NO EXCEPTION) is allowed in the FAIR unless they have a name badge. This includes students “dropping by to visit an alum or company.”
  • ALL student registration is at Student Registration (1st floor Lobby).
  • Alum and Employer Registration is on the 2nd floor (Melissa & Jackie).
  • Send faculty/staff to Melissa & Jackie for a name badge.

Good 2 Go:  Direct students to the Student Registration Table. Ensure students checking out the employer booths in the Lobby have a name badge; if they don’t have a badge, direct them to Student Registration. Help the traffic flow including lines forming at the booths. 

At the side of the lobby entrance coming in from the West Apartments: Direct students to the Student Registration Table via the computer/bathroom hallway. Ensure students checking out the employer booths in the Lobby have a name badge; if they don’t have a badge, direct them to Student Registration. Help the traffic flow if lines form at the booths. Refresh laptop for tweets.

By the Student Registration Area:  Direct students to the check-in area and ensure they are utilizing both stations; keep the lines moving including directing students from the booth into the Fair after they check in (do not allow any students to linger by Student Registration including to fill in their name badge (they can use the high top tables for that purpose).

In the hall from Good 2 Go to Student Registration towards Clemens Perk:  Prevent clogging in the area. If a line forms by Student Registration, direct it down the hall towards Clemens and keep the noise down for Seminars in 120 A & B. Direct students and alums/employers. 

At base of the stairs/elevator to 2nd floor:  Check for name badges; NO STUDENT goes upstairs to the Fair without a badge. Direct students to Student Registration in the Lobby. Direct alums/employers/faculty/staff to the 2nd floor.   ***Keep line straight on the stairs***

Second Level Balcony Entrance: Check for name badges; NO ONE enters the Fair (includes employer on the 2nd level Balcony) without a badge. Send students to Student Registration on the first floor and alums, employers, faculty/staff to Melissa & Jackie (President’s Room - 2nd floor). Direct to the Photo Booth.

PHOTO BOOTH

  • Report to the Scond floor balcony:  Check students in for photos. Keep the line flowing. Ensure the lines are not interfering with employers in the Lobby area.

SEMINAR CLEAN UP  

  • Help pack up materials from the Seminars and move to the CSB Career Resourcen Center or to staff vehicles.
  • Constantly check with Mary, John, Melissa, Jackie and Heidi to ensure all materials are packed and moved, space is clean, etc.

FAIR CLEAN UP

  • Assist employers with carrying their stuff out of the fair to the entrance of the Gorecki
  • Constantly check with Mary, John, Melissa, Jackie and Heidi to ensure all materials are packed and moved, space is clean, etc.

ALUM/EMPLOYER REGISTRATION DESK CLEAN UP

  • Assist employers with carrying their stuff out of the fair to the entrance of the Gorecki
  • Constantly check with Mary, John, Melissa, Jackie and Heidi to ensure all materials are packed and moved, space is clean, etc.
