Course Approval process for Study Abroad at CSB/SJU

As part of the study abroad process at CSB/SJU, many of our courses abroad are already approved for general electives towards graduation or for common curriculum credit. On the back of each semester program brochure, there is typically a list of courses and how those courses will translate back to CSB/SJU.

For a number of programs, you will direct enroll in one or more courses during your semester abroad. These programs include: Australia (UNDA), Dublin, Ireland (FIE), London (FIE), Chile (UAI), Germany (KU), Northern Ireland & Cork-Ireland (UCC). If you are on any of these courses, you will be required to fill out a Course Approval Form.


For Study Abroad Courses that May Fulfill Common Curriculum Requirements; only applicable for Cork- Ireland, Northern Ireland, or Germany

Step 1:  Consult the Core Guide on the Common Curriculum website to review the learning objectives for each area of the Common Curriculum.  Determine whether your selected Study Abroad course addresses the objectives of a particular requirement.  (Only courses with compatible learning objectives will be considered for CSB/SJU Common approval).

Step 2: Email Barb Novak in the Registrar or someone in Academic Advising office: & copy CGE on the email

Subject Line: Request for Study Abroad Course Approval - Program, Term, Year, First Name, Last Name

Text:  1) Course title and description

         2) Common area you think course will fulfill

         3) Study abroad program offering the course

         4) Term and year you plan to take the course

         5) Attach a copy of the course description and or syllabus from the study abroad program website

Step 3: The Registrar or the Academic Advising Office will review and determine if the course(s) are approved for the Common Curriculum or General elective credit. If approved, Academic Advising Office or the Registrar either sign the Course Approval Form or send electronic approval to you and copy a member of the CGE staff.  

Step 4: Once on-site: After final registration on-site, student will review Degreeworks. If course doesn't appear in the correct spot, you will need to complete the online Common Curriculum Substitution Form for final approval.  

For Study Abroad Courses that May Fulfill Major or Minor Requirements

PRE-APPROVED MAJOR/MINOR COURSES: A signature of approval is NOT required for courses that have been pre-approved at a program partner for common/general electives or in some cases Major/Minor. The pre-approved lists will be sent to you by CGE. Some majors like COMM, PSYC, ENVR, and CHEM have reviewed our courses abroad, so if you are interested in learning more about these courses please contact CGE at [email protected] Any other course requires a signature for approval.

Step 1: Gather course description(s) and possibly syllabus from the appropriate program's website.

Step 2:Email the course description(s) to the chair of the department at CSB/SJU from which you are requesting Major/Minor course approval, please CC a staff from CGE along with this request.

         3) Study abroad program offering the course

         4) Term and year you plan to take the course

         5) Attach a copy of the course description or syllabus from the program website

Step 3: The chair of the department will review and determine if those course(s) are approved for the Major/Minor. If approved, the Chair will sign the Course Approval Form form or will send electronic approval to you and copy a member of the CGE staff.  

Step 4: Once on-site: After final registration on-site, student will review Degreeworks. If course doesn't appear in the correct spot, you will need to complete the online Major/Minor Substitution Form for final approval.  

Further Tips:

  • Having a course approved for CSB/SJU crediting does not guarantee that you will get into a class abroad.
  • It is recommended to get as many courses approved as possible so you have alternatives in case a course abroad is not available.
  • You do NOT have to take the courses you got approved, but if you do, you know they are approved for certain CSB/SJU equivalence.
